Frontline National is currently seeking a Research Office Manager for a research study led by the Michigan Dept of Health and Human Services (MDHHS) in Kalamazoo, MI. Research members will collect data at a Study Office as part of the Michigan PFAS Exposure and Health Study (MIPEHS) from approximately September 2024, to September 2025.

The Research Office Manager position will run from September 2024 to August 2025, with the possibility to extend into September 2025. The Research Office Manager will manage study office preparations from September to December 2024. This will include hiring staff to manage participant appointments, ordering supplies, setting up the study office, and supporting training content development. A Research Team Lead will assist the Research Office Manager with these study office preparations. The Research Office Manager will oversee the collection of data at the study office from approximately January 2025 to August 2025. For this study, recruited research participants will be scheduled for appointments at a local study office in Kalamazoo, MI. At the office, participants will meet with a staff member who will collect measurements such as height, weight, waist and hip circumference, and blood pressure. Trained phlebotomist will collect a blood sample. Participants will also complete a survey about their health, either prior to their appointment or during their appointment. Study office staff will also process blood samples into serum aliquots, and ship the blood and serum samples to off-site labs for analysis. The team will be overseen by an on-site Research Office Manager or Research Team Lead.

Office Manager daily responsibilities include but are not limited to:

  • · Interview potential study office staff including Research Associates, Phlebotomists, and Assistant Lab Techs and make hiring recommendations.
  • · Supervise all study office staff. Provide approved timesheets, performance feedback to staff and any staff issues to management.
  • · Assist Tam Lead with in-person training activities, certify study office staff to work on the project, and additional training and team building activities throughout data collection.

  • · Create and review weekly staff schedules.
  • · Conduct weekly management meetings and monthly study meetings for all staff.
  • · Attend weekly quality and production meetings with study leaders. Attend project meetings with clients and others as necessary.
  • · Appropriately and clearly communicate with all staff, project management, clients and the general public.
  • · Oversee study office shifts.
  • Setting up the study office, including finalizing office layout and furniture needs and receipt, unpacking and arrangement of furniture, equipment, office materials and study supplies (assisted by their Team Lead).
  • · Interact with all subcontractors/service vendors which may include rental furniture, telecommunication service, cleaning service, dry ice and liquid nitrogen delivery, biohazard waste disposal, study office security system, copy/fax and other equipment
  • · Communicate with building management/maintenance to address any building related needs during data collection.
  • · Directing technical systems and equipment issues to appropriate parties for resolution and following up to verify completion by appropriate staff.
  • · Coordinate daily project procedures.
  • · Manage media, visitor and call-in questions and direct them to appropriate staff.
  • · Conduct participant appointments and serve as back up to study staff and Team Lead.
  • · Adhere to all project protocols associated with participant procedures.
  • · Provide a clear explanation of study procedures to participants and their family.
  • · Oversee inventory management including taking receipt of equipment, materials, and supplies; comparing contents of deliveries to invoices and purchase requests and flagging discrepancies; regularly updating an inventory tracker with the count of all supplies; regularly taking inventory and communicating needs for resupply; identifying and communicating the need for alternative or new supplies, as appropriate.
  • · Maintain quality data collection.
  • · Coordinate with the Research Team Lead to ensure all daily and weekly tasks are completed, including opening and locking the study office for the day.
  • ·       Other duties as required



  • · Potential for exposure to blood-borne pathogens.

Required Qualifications:

  • · High School Diploma or GED
  • · Prior experience as an office manager, assistant office manager, or supervisor in a medical or research setting required
  • · One year of Phlebotomy experience preferred.
  • · Effective oral & written communication skills.
  • · Basic computer skills with Microsoft Office (Excel, Word, Teams) on laptops or tablets.
  • · Available from September 2024 through August 2025, Possibly September 2025.
  • · Ability to coordinate, lead and complete project trainings.
  • · Keep Project information confidential.
  • · Valid driver’s license and reliable transportation.
  • · Available to work, on average, 32 hours per week September 2024 through August 2025
  • · Must pass a Background Check
  • · All staff are encouraged to get vaccinated against COVID-19 prior to beginning work.

Training & Pay

  • · Attend and successfully complete Research Team Lead project training session throughout September and December 2024.
  • · Attend training for all study protocols, which are currently scheduled for September 2024, December 2024 and January 2025
  • · Conduct in-person training and certifications of the other study office staff.
  • · Staff must also complete the requirements of an 8-hour research with human subjects training and several safety training’s (6 hours)
  • · Pay for this position is $40 per hour.
